1. Parent Communication Protocol (PCP)

  • Created a unified communication calendar for all circulars, PTMs, events, and fee reminders

  • Standardized how communication goes out — SMS, WhatsApp, printed notes, or portal alerts

  • Defined ownership — every department knew who was responsible for what

2. Response Turnaround Tracker

  • Introduced a simple TAT dashboard for parent queries

  • Created SLAs (Service-Level Agreements) for reply times — <24 hrs for general, <6 hrs for urgent

  • Trained front desk + staff on courteous, transparent replies

3. Quarterly Parent Feedback Loop

  • Built a 5-question feedback system (NPS-style) at the end of each term

  • Introduced a structured response plan to act on the feedback

  • Publicly acknowledged and resolved top 3 concerns every term
